The 365 backup myth
With over 200 million Microsoft 365 users and over 115 million daily active Teams users, like any other business-critical application, Microsoft 365 and Teams data needs to be protected.
The level of protection organisations assume they are getting as part of the 365 service, and the backup and recoverability services that Microsoft provides are often different.
Microsoft is responsible for ensuring all elements of its 365 service are available for use, but it is not responsible for guaranteeing the recovery of data if an incident occurs. If an organisation doesn’t provision their own backup solution, their data uses the Microsoft 365’s default policies, which are limited.
Even in its own terms and conditions Microsoft states that users should have regular, third-party backups in place.
The need for Teams backup
One undeniable side effect of the global Coronavirus pandemic has been the increased reliance on remote working and cloud-based technologies, such as Microsoft 365. Face to face meetings and office socialisation has been replaced with video, voice and instant messaging alternatives, and these new forms of communication need to be protected.
The complexity of Teams backup.
Microsoft Teams doesn’t store information in a dedicated Teams folder, as many would expect it to. As the software interlaces with other 365 services, it stores data across multiple service folders.
Where it is stored exactly, depends on what feature is being used. With this in mind, there’s no wonder data can be left behind.
The most effective way of protecting Teams data is to have a complete Microsoft 365 backup solution in place.
All chat messages sent through Teams (both team channels and direct) are collected within Exchange folders.
Every single team and channel an organisation creates is stored within SharePoint folders as an independent site.
File locations in chat
When you send a file to a colleague directly, the file is stored in a Microsoft Teams chat files location in OneDrive.
File locations in Channels
If you send a file within a Channel to multiple colleagues, it can be found within the SharePoint document library.
